Per-vendor posting template for inbound e-documents — accounts, dimensions, approvals, auto-posting, and advanced posting setup.
Vendor Posting Template
BC page: Posting Template (Card) · Search: “Posting Template”
Source: RSMSTA VendorPostingTemplCard
A posting template defines how inbound e-documents from one or more vendors are turned into purchase documents in BC — which account or item the line lands on, which dimensions are stamped, which approvers see it, and whether the resulting invoice is posted automatically.
Each vendor card points to a template via its Posting Template field. For broader context — when to use templates, how they layer with global setup, and the difference between the default template and advanced rows — see the narrative Vendor Posting Templates doc.
General
| Field | What it controls |
|---|
| Code | Unique identifier for the template. Vendor cards reference this code. |
| Description | Free-text description shown in lookups. |
| Receive E-Document To | Default purchase document type generated from an inbound e-document — None, Purchase Order, or Purchase Invoice. Corrective documents always become Credit Memos regardless of this setting. |
| Type | Default line type (G/L Account, Item, etc.) used when posting lines that come from this template. |
| No. | Default account or item number for that line type. |
| Deferral Code | Deferral template applied to expenses on lines created from this template. Defers the cost across the accounting periods defined by the deferral template. Hidden by default. |
| Automatically Process Invoice | When enabled, inbound invoices using this template are automatically run through to a purchase invoice without manual intervention. |
| Map Values Instead Post Setup | When enabled, value mappings on the Template References subpage override the values set on the template itself. Lets you map per-document-line values (e.g. a specific cost centre per PEPPOL line code) without creating one template per combination. |
| Overwrite Line Values | When enabled, the values on the resulting purchase line are overwritten by the template values — useful when the inbound document is unreliable on a particular field. |
| Job No. / Job Task No. | Project and project task that posted lines are charged to. When both are filled, a project ledger entry is created alongside the purchase entry. |
| Only if VAT is same | Applies this template only when the VAT on the inbound line matches the template’s VAT. Lets you have parallel templates for the same vendor split by VAT rate. |
| Approve Warning for all Lines | When enabled, accepting the validation warning on one line accepts it for every remaining line on the document. Useful when intentionally overriding VAT in bulk but you still want a single confirmation. |
| Posting Description | Additional posting description applied to the document. Appears on vendor and customer ledger entries after posting. |
Dimensions
Defaults for the eight shortcut dimensions configured in General Ledger Setup. Each row is only visible when the corresponding shortcut dimension is enabled.
| Field | What it controls |
|---|
| Shortcut Dimension 1–8 Code | Default dimension value applied to lines created from this template. The caption on dimensions 3–8 follows whatever is configured in General Ledger Setup. |
Approvals
The Approvals group is wired to the Enable Approval User Group for Approvals flag on Purchases & Payables Setup — individual approver fields are enabled when the global setup uses individual approvers, and user-group fields are enabled when it uses user groups.
| Field | What it controls |
|---|
| Workflow User Group Code | Approval user group that receives requests for documents using this template. Enabled when global setup uses user-group approvals. |
| Approval User | Specific user that receives requests for documents using this template. Enabled when global setup uses individual approvers. |
| Require Four Eyes | When enabled, documents using this template require a second approver. |
| 4Eyes Workflow User Group Code | User group that provides the second approver. Enabled when global setup uses user-group approvals and four-eyes is on. |
| Four Eyes Approver | Specific user that acts as the second approver. Enabled when global setup uses individual approvers and four-eyes is on. |
| Four Eyes limit (LCY) | Minimum document amount that triggers four-eyes. When set to a non-zero value the second approver is only added when the document amount exceeds the limit; set to 0 to always require four eyes. Ignored when Require Four Eyes is off. |
| Use Approval User Manager | When enabled, the Manager field on the first approver’s Approval User Setup record is used as the fallback four-eyes approver. When the manager is empty, the Four Eyes Approver field is the fallback. When disabled, the Four Eyes Approver field is always used. |
Automatic Approvals and Posting
| Field | What it controls |
|---|
| Automatic Appr. Post of Inv. | When enabled, purchase invoices from vendors using this template are automatically approved and posted without manual review. |
| Allowed Var from Last Invoice | Allowed variance percentage between this invoice’s amount and the previous invoice from the same vendor before auto-posting is blocked. Enter 10 for 10%. |
| Accounting Cost | Accounting Cost code that auto-approval applies to. Only invoices that match this cost are auto-approved and posted. |
Subpages
| Part | What it shows |
|---|
| Vendor Template References | Value-to-template mappings used when Map Values Instead Post Setup is enabled. Editable and visible only when that flag is on. |
| Advanced Vendor Post Template | Rows of advanced posting templates that override the default values for specific inbound combinations. See Advanced Posting Template. |
Factbox
| Part | What it shows |
|---|
| Vendor Posting Template References | The references attached to the currently selected advanced posting template row. Read-only. |
Actions
| Action | What it does |
|---|
| Dimensions | Opens the dimension editor for this template. Equivalent to Alt+D. |
| Copy Posting Template | Prompts for a new code and creates a duplicate of this template with that code. Useful for cloning a working configuration to use as a starting point for a similar vendor. |
Wise Approvals Connector additions
When the Centara eMessaging Connector for Wise Approvals is installed, the standard Receive E-Document To is hidden and replaced, and an extra field is added at the end of the General group:
| Field | What it controls |
|---|
| Receive E-Document To (connector version) | Same as standard, but with an additional Approvals option — inbound documents using this template are routed directly to the Wise Approvals workflow instead of becoming a BC purchase document. |
| Percent Spread | Wise Approvals percent-spread code applied to documents using this template. Distributes the document amount across multiple approvers or cost centres according to the spread definition. |
