Key fields (header)

The list has many columns; the ones below are the ones with non-obvious behaviour. Standard fields like Due Date and Currency follow BC conventions.

Vendor/Customer No.The matched vendor/customer in BC. Red when no match is found — posting is blocked until resolved (use Create Vendor or change Document Sending Profile).
Supplier NameSupplier or customer name from the document. Red when the counterparty isn’t found.
Posting TemplateThe Vendor Posting Template assigned, which controls how lines are posted. Editable while the document is in New status.
Accounting CostHeader-level accounting cost from the document. Drives Vendor Posting Template lookup when the line itself has no cost.
Linked to Purchase OrderThe Purchase Order number this document has been matched to, if any.
Receive E-Document ToWhether the system creates a Purchase Invoice or Purchase Order for this document. Credit memos always create a Credit Memo. Defaults from Purchases & Payables Setup; overrideable per document.
Payment MethodPayment method code from the document. Yellow when the method does not exist in BC.
Original Approval UserThe first approver — visible only when approvals are enabled. Editable in New status.
Workflow User GroupThe approval group, when user-group approvals are active.
Ship-to AddressThe ship-to name from the document. Visible when Show Ship-to Column is enabled in Sales & Receivables Setup.
On Hold ReasonFree text explaining why the document is on hold.
Document No.The BC document number assigned after posting. Empty until Processed.
Last Auto Post ErrorThe error from the most recent auto-process failure. Add via personalization to diagnose Error documents without opening each one.

Colour coding

ColourMeaning
Red (Vendor/Customer or Supplier Name)No match found in BC. Posting is blocked.
Red (PO comparison fields)PO vs invoice mismatch.
Yellow (VAT)Line’s VAT category resolves to 0% on the assigned G/L account.
Red (VAT)The G/L account’s VAT% does not match the document line VAT%.
Yellow (Payment Method)Payment method code from the document does not exist in BC.

PDF preview

The right-hand factbox shows the source PDF alongside the list. Enable via Purchases & Payables Setup → Show PDF Factbox. Click the download icon in the preview to save the original PDF with a filename based on the supplier and document number (e.g. Acme Suppliers Ltd_INV-2026-0341.pdf).
